Plan and Dispatch AI

Plan and Dispatch AI

Tasks in. AI dispatches. Team delivers.

An AI-assisted dispatch board for consulting and service teams — self-hosted as a Docker container. Tasks arrive centrally, the AI reads each one, matches it against your team's skill profiles and workload, and assigns it to whoever fits. Effort estimation, time tracking and project controlling come with it.

Your data stays in your house. Everything lives in a SQLite volume on your own server. The AI is optional and can run entirely on your own hardware — and if it is unavailable, the board simply carries on without it.

mkdir plan-and-dispatch-ai && cd plan-and-dispatch-ai

# Fetch the three configuration files from the project repository
curl -O https://raw.githubusercontent.com/MetroMcD/Plan-and-Dispatch-AI/main/docker-compose.yml
curl -O https://raw.githubusercontent.com/MetroMcD/Plan-and-Dispatch-AI/main/Caddyfile
curl -o .env.example https://raw.githubusercontent.com/MetroMcD/Plan-and-Dispatch-AI/main/.env.example

cp .env.example .env
nano .env # ADMIN_PASSWORD is required — the stack refuses to start without it

docker compose up -d

Then open http://<server>:5050 or https://<server>:5443.

Compose files, full installation guide and changelog: https://github.com/MetroMcD/Plan-and-Dispatch-AI — no source code, just what you need to run it. Available for linux/amd64 and linux/arm64 — Apple Silicon, Raspberry Pi and ARM servers included.

The board

One Kanban column per team member plus a central inbox. Cards carry the ticket number, customer, priority, deadline, estimated effort, milestone and status. Full-text search, filters by status, team and customer. Subtasks have their own owner, deadline and budget. Every change is logged; completed work can be archived. Light and dark mode, your own company colour and logo, and a bilingual interface (German/English) switchable per user.

What the AI does

  • Auto-dispatch — reads each task, compares it against skill profiles and current workload, and assigns it. If the best match is booked out, the runner-up gets it; if both are full, the task is flagged for manual planning instead of being force-fitted.
  • Classification and effort estimation against your own reference table
  • Milestone assignment within the project plan
  • Weekly briefing for management, generated from the actual board state
  • Performance texts phrased from short time-tracking notes

You choose the provider: a local model (LM Studio, Ollama — nothing leaves the machine) or a hosted one (Anthropic, OpenAI, Azure). Without any AI the board remains fully usable; classification then falls back to keyword matching.

Planning and controlling

  • Project plan with milestones and a week-by-week timeline, exportable to Excel
  • Planned versus actual on three levels: project, milestone, individual task
  • Time tracking in 15-minute increments, with a budget check that asks for a written reason once the estimate is exceeded
  • Workload matrix of people against weeks, colour-coded by utilisation
  • Absence planning that moves affected deadlines automatically

Integrations

REST push API for ERP and ticketing systems, a HubSpot connector, an Outlook add-in that turns an email into a task, Excel/CSV import with free column mapping, an MCP server so AI clients can work with the board, and an internal ticket numbering scheme for teams without an external system.

Operation

Nightly backups plus backup and restore straight from the admin area, HTTPS via Caddy, health check, login lockout after failed attempts, and enforced password changes for initial credentials. The application runs as an unprivileged user inside the container.

VariablePurpose
ADMIN_PASSWORDRequired with the Compose files. Password for the initial admin account. Without it (e.g. a plain docker run) the app generates a random one-time password, prints it to the container log and stores it in /data/initial-admin-password.txt — there is no default admin/admin.
ADMIN_USERName of the initial admin account (default admin)
SECRET_KEYSession signing key; generated and persisted automatically if unset
SESSION_COOKIE_SECURESet to 1 when the app is reachable over HTTPS only
BACKUP_HOURHour of the nightly backup (default 2)
BACKUP_KEEP_DAYSNightly backups to keep (default 14)
TZTime zone (default Europe/Berlin)

All data lives in the dispatcher-data volume. Do not place it on an NFS or SMB share — SQLite's locking is unreliable there.

Licence

Freeware, commercial use included. The source code is not open source and the software is not released for forking or derivative works. This is a side project by a private individual, not a company: there is no guarantee of availability or support. Bug reports are welcome; code contributions are not accepted.

Deutsch

Aufgaben rein. KI verteilt. Team liefert.

mkdir plan-and-dispatch-ai && cd plan-and-dispatch-ai

# Die drei Konfigurationsdateien aus dem Projekt-Repository holen
curl -O https://raw.githubusercontent.com/MetroMcD/Plan-and-Dispatch-AI/main/docker-compose.yml
curl -O https://raw.githubusercontent.com/MetroMcD/Plan-and-Dispatch-AI/main/Caddyfile
curl -o .env.example https://raw.githubusercontent.com/MetroMcD/Plan-and-Dispatch-AI/main/.env.example

cp .env.example .env

docker compose up -d

Was die KI übernimmt

Lizenz

Freeware, kommerzielle Nutzung eingeschlossen.
